2. Our General Approach Regarding the Collection of Your Personal Data

We take the privacy of your personal data very seriously, and several laws and regulations require us to handle your data in very specific ways. The overarching data privacy principles we follow are:

  • We will collect and use your data in a fair, legal way
  • We will explain how we collect and use your data in clear, plain language
  • We will collect your data only for the purposes specified in this Policy
  • We will use your data only in the ways stated in this Policy
  • We will ensure that your data remain as accurate and as up-to-date as possible
  • We will keep or store your data for only as long as is reasonable or legally required
  • We will protect your data from loss, theft, and unauthorized access.

3. What information do we collect from you?

a) Synteract may collect your personal data through its website or through landing pages when you submit a “Contact Us” form. This personal data includes:

  • First name
  • Last name
  • Email address
  • Telephone numbers
  • Company name
  • Fax numbers
  • Any personal information voluntarily provided in the text box of the form.

b) Synteract also collect information from clinical trial investigators, through its online Investigator Registration Form. This form asks an investigator to provide his or her:

  • First name
  • Last name
  • Email address
  • Phone number
  • Website
  • Institution/Study Site Name
  • Country
  • Address
  • Medical Degree or Qualification
  • Clinical research experience
  • IRB information
  • Any personal information voluntarily provided through the form, such as a resume.

c) You may apply for a job through the Careers section of Synteract’s website. If so, you will be asked to provide the following information:

  • First name
  • Last name
  • Physical Address
  • Email address
  • Employment history and related data contained in your resume/curriculum vitae and any other documents submitted as part of the job application process.

If you are a job applicant submitting information through our website, you will also be provided an additional, more detailed policy regarding the use of the information you provide.

d) When you visit our website or webpages, we also collect and use your IP address to diagnose problems with our servers or software, to administer our site, and to gather demographic information.

4. How do we use your information?

We use your personal information when responding to your “Contact Us” forms, for job recruitment purposes, and to provide you with opportunities to learn more about our services. We also use your information to support our business functions, such as marketing and legal activities, and if You are a medical investigator, we use your personal data to ensure you have adequate clinical experience and to facilitate our business relationship.

Synteract has a legitimate interest in collecting your personal data. When we have a “legitimate interest” to collect and use your data, we ensure that we do so in way that has the least possible privacy impact on you and in ways that you would expect. For example, we have legitimate interest to collect your data (such as name, email address, and telephone number) for marketing purposes so we can keep you up to date with our services and we have a legitimate interest to collect your data (such as IP address) to perform system audits or diagnose technical problems.

In other instances where we do not have a legitimate interest to process your Data, we will obtain your clear and unambiguous consent when we are required. You may withdraw your consent at any time by contacting us. See Section 8 for our contact information.

5. Do we share your information?

We do not sell, trade, or rent your information to others, except for sharing with our affiliates, services providers, and partners. In rare instances, we may have to share your data with law enforcement agencies or to the extent permitted by law to protect our rights and comply with judicial process.

At times, our sharing of Your data may require it be transferred internationally. In those instances, we secure the privacy of your data via Standard Contractual Clauses, certification to the EU-US Privacy Shield framework, and the Swiss-US Privacy Shield Framework. Please note that our website may provide links to other sites. When you click on one of these links, you are leaving our site and entering another site that we do not control and for which we cannot be responsible. 6. How do we retain and protect your information?

The information we collect from you is subject to storage and archival. We will retain your data only for as long as required to fulfill the purposes for which it was collected, or for an amount of time required by a law or regulation.

Further, we place high value on protecting your information, and have implemented appropriate physical, electronic, and administrative procedures to safeguard and secure the information we collect from you online. By doing that, we seek to protect the confidentiality, integrity, availability, and privacy of your data while keeping your data free from accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or unauthorized access.

Unfortunately, no data transmission over the Internet or any wireless network can be guaranteed as being 100% secure.

9. What Are Your Rights Concerning Your Data

You have several legal rights concerning your personal data we collect and use. These include the right to access your data, correct or amend your data, have your data erased, restrict or object to our use of your data, to receive a copy of the data we have, and to lodge a complaint with appropriate Supervisory Authorities. 10. Collection of Sensitive Personal Data and Children's Data

We do not regularly or purposefully collect any of your sensitive personal data. “Sensitive” data includes your:

  • racial or ethnic origin
  • political opinions
  • religious or philosophical beliefs
  • trade union membership
  • genetic data
  • biometric data
  • data concerning health. 
  • data concerning a natural person's sex life or sexual orientation

However, if we ever have a need to collect your sensitive personal data, we will ensure that we obtain your explicit consent to do so before we collect it.

In addition, we do not intentionally collect data from individuals we know are under 16 years of age, and no parts of our business or operations are structured to attract anyone under 16 years of age.

11. EU-U.S. and Swiss-U.S. Privacy Shield Frameworks

Synteract participates in the EU-U.S. and the Swiss-U.S. Privacy Shield Frameworks as set forth by the U.S. Department of Commerce regarding certain personal information received by Synteract in the U.S. from European Union member countries and Switzerland. Please see our Privacy Shield Policy for information about SynteractHCR’s data practices regarding personal information it receives from European Union member countries and Switzerland pursuant to the respective Privacy Shield frameworks.
